This policy explains what personal information ottertail studio ("we", "us") collects through this website, why we collect it, and the choices you have. We are based in Vancouver, British Columbia, Canada, and we handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA) and British Columbia's Personal Information Protection Act (PIPA).
Who is responsible

What we collect
Information you give us. When you fill in a form on this site, such as the contact or audit booking form, we collect what you enter: your name, work email, company, role (if you add it) and your message. Please don't include sensitive personal information in your message.
Information collected automatically. If you allow it in the cookie banner, we collect information about how you use the site, such as pages visited, referring website, approximate location, browser and device type. We collect this through cookies and similar technologies. See our cookie policy for details.
We do not knowingly collect information from children under 16.
How we use it
- To reply to your enquiry and arrange calls or audits you ask for.
- To run, secure and improve this website, including filtering spam.
- To understand which pages and campaigns are useful, if you have consented to analytics or advertising cookies.
We only send marketing emails, such as newsletters, if you have expressly agreed to receive them, in line with Canada's Anti-Spam Legislation (CASL). Every marketing email includes a way to unsubscribe. Submitting a contact form is not a sign-up for marketing emails.
We do not sell your personal information, and we do not use it to make automated decisions about you.
Who we share it with
We use a small number of service providers to run this site and our business. They process information on our behalf and only as we instruct:
- HubSpot, which receives form submissions directly and provides our CRM, email and the cookie consent banner.
- Google (Google Tag Manager, Google Analytics and Google Ads), for analytics and advertising measurement, only with your consent.
- Cloudflare, for website hosting, content delivery and security.
Some of these providers store data outside Canada, including in the United States, where it may be accessible to courts, law enforcement and national security authorities under local law. We may also disclose information if required by law or to protect our rights.
How long we keep it
We keep enquiry and contact information for as long as needed to respond and to maintain a business relationship, and then delete or anonymise it, normally within 24 months of our last contact unless we have an ongoing engagement.
Your choices and rights
You can ask to access, correct or delete the personal information we hold about you, or withdraw your consent to its use, subject to legal or contractual limits. You can change your cookie choices at any time with the "Cookie settings" link in the footer. To make a request, contact us through our contact page. We will reply within 30 days.
If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada or the Office of the Information and Privacy Commissioner for British Columbia.
Security
We use reasonable technical and organisational safeguards to protect personal information, including encrypted connections and access controls. No method of transmission or storage is completely secure.
Changes to this policy
We may update this policy from time to time. The date at the top of this page shows when it last changed.
